The short answer spans a wide range because "virtual assistant" describes several buying models. A U.S. employee, a freelance contractor, a direct offshore hire, and a managed service can do similar administrative work while creating very different obligations for the buyer.

The clean comparison is total annual cost, not the advertised hourly rate. Benefits matter for employees. Platform charges and paid idle time can matter for freelancers. Direct offshore hiring shifts sourcing, payroll, compliance, and replacement work to the client. A managed service rolls some of those duties into its fee.

This report uses the latest available releases from the U.S. Bureau of Labor Statistics (BLS), Internal Revenue Service (IRS), Society for Human Resource Management (SHRM), Philippine Statistics Authority (PSA), Gallup, and Upwork. Every calculated figure states its assumptions. Prices should still be confirmed before purchase because marketplace and provider rates can change.

The annual freelance figures are simple calculations, not claims about guaranteed utilization. They multiply the cited hourly rates by 2,080 hours, or 40 hours for 52 weeks. A contractor paid only for productive hours could cost less. A contractor who charges for meetings, training, holidays, or rush work could cost more.

The managed-service example uses 160 hours per month, which is 1,920 hours per year. This difference in assumed hours is why an hourly rate should never be compared without a workload assumption.

U.S. employee cost: salary is only the first line

The BLS Occupational Outlook Handbook, updated August 28, 2026 with May 2025 wage data, reports a $48,310 median annual wage for secretaries and administrative assistants. This is the closest broad federal benchmark for general administrative VA work. It is not a virtual-assistant-only statistic.

Benefits materially change that number. In its Employer Costs for Employee Compensation release, published March 20, 2026 for December 2025, BLS reported that wages were 64.8 percent of total compensation for private-industry sales and office occupations. Benefits accounted for the other 35.2 percent.

Applying that compensation mix to the $48,310 wage median gives an illustrative annual compensation cost of about $74,552:

$48,310 / 0.648 = $74,552

That is a planning calculation, not a BLS estimate for virtual assistants. It combines an occupational wage median with a broader compensation mix. A small employer offering limited benefits may spend less. An employer with rich health insurance, paid leave, bonuses, and retirement contributions may spend more.

The calculation also leaves out several first-year costs:

  • job advertising or recruiter fees
  • interview and reference-check time

This model works well when the workload is genuinely variable or part time. The buyer usually avoids employee benefits and pays only for contracted work. Contractor status is a legal classification, not a label that the parties can choose for convenience. The IRS notes that independent contractors are generally self-employed for federal tax purposes. The Philippine Statistics Authority's 2024 Occupational Wages Survey, released November 24 and 25, 2025, found an average monthly wage of PHP 21,544 for full-time time-rated workers across the covered industries. The survey separately publishes general office clerk benchmarks. These are useful labor-market anchors, but they are not quotes for VAs serving overseas clients. Converting the national average into a client price would ignore exchange rates, experience, night-shift premiums, statutory obligations, payment costs, and the employer or agency margin.

A direct offshore contract often has the lowest visible pay rate. The buyer takes on costs that an agency would otherwise handle:

  • candidate sourcing and work tests
  • reference and identity checks
  • cross-border payments and currency fees
  • local classification or employer-of-record advice
  • equipment, backup connectivity, and security controls
