What Should a Store Do When Tracking Stops Updating?
Handle orders with stalled tracking using carrier checks, customer updates, escalation deadlines and a clear record of who owns the next step.
First, identify the last verified shipment event. Then use the store's policy and the carrier's current guidance.
Do not promise a delivery date, refund, or replacement before the evidence supports that action.
Start with four checks
- Confirm the order number and delivery address.
- Confirm the fulfillment date and tracking number.
- Open the carrier's current tracking page.
- Read the full event history and the last event time.
Shopify lets a store add or update tracking data after fulfillment. It also supports a manual tracking URL for an unrecognized carrier. See Shopify's order-tracking guide.
Use this tracking-exception decision tree
Status: Label created
A label does not prove that the carrier has the package.
- Check the warehouse or fulfillment record.
- Confirm whether a pickup or handoff occurred.
- Correct an invalid tracking number or carrier selection.
- Give the customer the next verified check time.
Escalate to the fulfillment owner when no handoff evidence exists.
Status: In transit, with no recent scan
- Compare the last scan with the carrier's current tracking page.
- Check the store's published delivery and exception policy.
- Ask the carrier for help when the shipment meets its current contact rule.
- Tell the customer what is known and what remains unknown.
Do not use one fixed delay limit for every carrier, service, or destination.
Status: Delivered, but the customer cannot find it
- Confirm the address on the order.
- Read the carrier's delivery event details.
- Ask the customer to check the agreed safe locations.
- Follow the store's delivered-order policy.
- Record the next owner and update time.
This article does not define reimbursement or claim eligibility. Those decisions depend on the store, carrier, payment method, and local law.
Status: Tracking data is wrong or unavailable
- Compare the tracking value with the fulfillment record.
- Confirm the selected carrier.
- Add the correct carrier URL when required.
- Send an updated tracking notice only after the data is correct.
Shopify explains that staff can view the same order status page that a customer sees. This helps teams compare the public status with the admin record. See Shopify's order-details guide.
Record one owner and one next step
Use this exception record:
| Field | Entry |
|---|---|
| Order | Store order number |
| Last verified event | Event, place, and time |
| Current state | Label created, in transit, delivered, or invalid data |
| Check completed | Fulfillment, carrier, address, and policy |
| Customer update | Exact summary sent |
| Owner | Person or team responsible |
| Next check | Date and time |
| Stop condition | Resolution or approved policy outcome |
The record prevents two agents from making different promises.
Use status-specific customer updates
Keep the message factual.
Label created: “Your label exists, but we are confirming the carrier handoff. We will update you by [time].”
In transit: “The last carrier scan was [event] at [time]. We are checking the next step under our shipping policy.”
Delivered: “The carrier marks this shipment delivered at [time]. We are checking the address and delivery details with you.”
These are templates. Replace the bracketed fields with verified facts.
For repeated order-status demand across many shipments, use the WISMO cause-coding worksheet.
