What Makes a Property Owner Update Decision-Ready?
Turn property reports into a clear owner update with material exceptions, source links, decisions needed and next actions, using a reusable summary format.
A decision-ready update tells the owner what changed, why it matters, and what decision is needed.
It links each statement to a source report. It also names the next action, owner, and due time.
Keep source reports separate from the summary
The source report contains the accounting or operating detail. The update is a management layer above it.
Do not copy a number into the update without a source link and reporting period. Do not change the source data in the summary.

Use this one-page format
1. Period and scope
State the properties and reporting period.
2. Stable items
List items that need no owner action. Keep this section short.
3. Material exceptions
Use one row for each exception.

4. Decisions and deadlines
List only open decisions. Use clear options.
5. Next update
State when the owner will receive the next update and who will send it.
Select exceptions with an agreed rule
Do not include every event.
Use the management agreement and the owner's communication preferences. Typical categories can include:
- A cost above an agreed approval level
- A material change from the approved plan
- A deadline that needs owner action
- A risk that needs a decision
- A repeated issue that needs a policy choice
These are categories, not legal or financial advice.
Write a decision statement
Use this structure:
Decide [specific choice] by [time] because [verified effect].
Weak statement: “Please review the maintenance issue.”
Clear statement: “Select repair option A or B by Friday at noon so scheduling can continue.”
The clear statement does not tell the owner what to choose. It states the choice and deadline.
Add a source trail
Each exception needs:
- Source report or record
- Report period
- Record date
- Property or unit
- Last verified update
- Person who prepared the summary
If a source changes, update the exception and record the change time.
